In the era of digitisation, office space management is becoming increasingly complex and challenging. As AI is developed, it is particularly worth looking at the benefits of using modern tools that support office space management. Globalworth, as a leading owner and manager of office and mixed-use buildings in Poland and Romania, for whom technology is one of the main pillars of the company, provides its tenants with an innovative solution, the Globalworth app.  It is a state-of-the-art mobile application that allows users to enter the office, open the gate and barrier or summon a lift without contact. These are not all the conveniences for office workers – in addition, they can reserve a parking space, a desk a conference room in their office. 

Digital master key

An increasing number of our tenants are opting for a mobile form of access to the building and office. It turns out that as long as a plastic card can be fully replaced by an application on the phone company employees are increasingly willing to use such solutions. What does this mean for companies? First of all, a reduction in costs. The purchase of plastic cards is no longer necessary. Thanks to tools such as the Globalworth app, access to the office and building is granted virtually and can be taken away at any time by the zone administrator, who is usually the office manager in a given company. Such a fully thought-out and arranged process puts the management back in the hands of office administrators, saving them time. Giving up plastic cards is also another contribution to sustainability, both from the point of view of Globalworth, as a responsible owner and manager, and the company that has implemented such a system of office access and work organisation.

Integration with building systems

A definite highlight of the application is the integration and cooperation with systems available in our buildings. We are talking about systems that support access control, lifts, barriers, licence plate-recognition (LPR) cameras or even locks in bicycle-locker rooms. How does this translate into benefits for our tenants? Our experience has shown that a considerable inconvenience is the inability of tenants to verify their employees’ actual parking entries without downloading access control reports. Tenants who have already implemented the Globalworth app in their organisations use an administrator panel for this purpose, which shows the entrances of people using the parking lot in real time. Thanks to the fact that the app connects the software part of the system (online reservations) with the building hardware (parking barrier), only those people who have a reservation can enter. This allows for optimal and efficient management of available resources, which are parking spaces.

One click and a parking space is waiting for you

An undoubted advantage of the Globalworth App in addition to mobile access, are modules for booking parking spaces, desks and meeting rooms, which brings numerous benefits for both companies and users. For many organisations, such solutions mean better management of office space and optimisation of resource utilisation, which in turn translates into lower operating costs. A properly designed parking module in the application gives even more employees the opportunity to use the resources, this increasing their working comfort. Users, on the other hand, appreciate the convenience and flexibility the app gives them. They can quickly and easily reserve the spaces they need, allowing them to better plan their workday and avoid availability conflicts. In addition, the ability to book parking spaces in advance eliminates the stress of searching for an available space right in the parking lot itself, especially before the start of a challenging work day.

Thoughtful tool = effective management

One of the options in the Globalworth app is the ability to download reports. This feature is eagerly used by our tenants’ administrators. Access to data in Globalworth APP is crucial for effective office space management. From conversations with office managers, one of the biggest challenges in their work is obtaining accurate data on parking space utilization. To meet this need, we have introduced a feature in the Globalworth APP to instantly download utilization reports directly from the admin panel. This data is available in seconds in CSV report format and can cover the selected time period and the location of the resource. This is crucial because, as a result, administrators can quickly and easily check actual resource utilization, allowing for better planning and optimization of office space.

What lies ahead?

The Globalworth app is constantly evolving to meet the needs of its users. In response to numerous conversations with customers who pointed out the time-consuming nature of the guest-advising process and the cumbersome way of allowing access to the parking slot, we are in the process of introducing a new self-advising functionality. By simply entering the guest’s email address in the administration panel, the system will automatically generate a QR code with access to the building and the parking slot and, what’s more, have the option to send it as an invitation to the guest. This functionality will significantly increase the comfort of not only companies, but most importantly, of their guests.

We will also soon provide an update to the app that will allow the entry of the car’s license plate, so that when the driver attempts to enter the parking lot, the LPR camera will read the plates. If the driver has a reservation or an invitation, the barrier will open without any additional action on their part. Information about the vehicle’s entry, on the other hand, will appear in the application, which will know in real time whether or not the reservation has already been used. We are convinced that the new functionality will further improve the comfort of users who use the parking slot.

A step towards the future

In order to meet the expectations of our tenants, we strive to have a real and constant influence on the direction of Globalworth app development. How the app itself changes is largely a product of the conversations we have with tenants about their needs. In conversations, it is often the people who are responsible for managing office space on a daily basis who make suggestions and, who set the direction for improvements in the application. This is what we care about the most – that the application fulfils its tasks and responds to the changing needs of our tenants and their employees over time, this helping to create even more organised and comfortable workplaces in the office, and the building a space to which it is a pleasure to come every day.
